Thank you for your interest in our community. All applicants will be approved on the following basis:

EQUAL HOUSING

We do not discriminate on the basis of race, religion, color, sex, national origin, familial status or handicap.

IDENTIFICATION

Photo identification is required along with a completed guest card to view an apartment. You must have a social security card issued to you in your name or proof of U.S. citizenship for application approval. If you are not a U.S. citizen you can provide documentation of two of the following: Passport, Visa, Green Card or employment offer letter. Any other identification from a government entity, whether US issued or issued abroad, will be considered once its validity has been established.

APPLICATIONS

To be completed by each leaseholder and occupant over the age of 18 without omissions or falsifiers.

Omissions or falsifiers will result in the automatic declination of the application. All leaseholders must be at least 18 years of age. A non-refundable application fee of $40.00 dollars will be required per application.

Applications for students and Duke University or VA Affiliates will be $30.00. If you are applying online you must pay $40.00 and then we will credit $10.00 to your account as a rent credit once you move into your apartment. Application fees will need to be submitted via certified funds (cash, money order, credit/debit card, etc.); applications are not complete until the application fee has been received. All applications will expire after 90 days if an apartment has not been rented. A valid email address will be required with each application.

INCOME

Monthly rent shall not exceed 36% of gross monthly income. Allowances from scholarships, study subsides, parents, alimony, child support, commissions, tips, or the like will require written verification.

REQUIREMENTS

Applicants must qualify based on income, rental, and credit verification. Management reserves the right to deny any application based on poor credit, unsatisfactory rental history, insufficient income, or criminal activity, individually or collectively. Leaseholder and occupant applications will need to have a Safe Rent score of 450 or above to have their application considered for approval. A Safe Rent score of 449 or below will not be approved. A complete check of criminal, credit, and rental history of leaseholders and occupants will be made. No applicant, convicted of a personal crime, property crime, preliminary crime, or a crime against or involving a child within the previous ten years will be approved.

OCCUPANCY

In keeping with approved standards, the occupancy of our apartment homes are as follows:

  • One (1) bedroom – not over two (2) occupants
  • Two (2) bedrooms – not over four (4) occupants or not over two (2) roommates
  • Three (3) bedrooms – not over six (6) occupants or not over three (3) roommates

DEPOSITS

The deposit is equal to one month of rent and will need to be paid by certified funds (cash, money order, credit/debit card, etc.). The deposit will need to be remitted within 48 hours of application approval or we reserve the right to offer the apartment to other applicants. Deposits cannot be transferred and, if a new apartment is selected, a new deposit will be remitted for the new residence and the deposit on the original apartment will be refunded within 30 days.

ADMINISTRATIVE FEE

There is an administrative fee of $150.00 that must be paid by certified funds at the same time that your deposit is remitted.  Once you sign your lease, the $150.00 will go towards your first month of rent.  If you decide to withdraw your application and not sign your lease, the administrative fee will be forfeited.

PAYMENTS

Pro-rated rent from the day the lease is signed and pet fee (if applicable) are payable only by certified funds prior to lease signing. Rent is due on or before the first of each month. A late fee of 5% of the rent will be charged to you if rent is received after 5:00pm on the 5th day of the month (holidays and weekends are no exceptions). A returned check charge of $25.00 will be affixed to your account if your check is returned as NSF. Returned checks cannot be re-deposited and must be paid promptly by certified funds. Payments not received as agreed will result in our pursuit to “right of possession” of said premises.

TRANSFERS

If you are a current authorized resident and would like to transfer to a new apartment you will need to complete a new application which will include a credit/background check and verification of current employment. We will also inspect your current apartment and consider its condition and your resident history with Holly Hill as your rental verification. If the unit is in an unsatisfactory condition you will not be able to transfer. Also, if you are an unauthorized resident or are allowing unauthorized residents to stay with you your application will be denied.

PETS

Pets must be approved before they are brought onto the property. The pet agreement and the pet fee must be settled before the pet is brought onto the property. Two pets are permitted per apartment home.

Aggressive, poisonous, or endangered species are not permitted. Pets are never allowed outdoors without being on a leash and accompanied by the owner. City tags and proof of inoculations are required. A one time non-refundable pet fee of $75.00 is required with a signed pet agreement and pet rent of $15.00 will be paid each month on the same terms as the apartment rent. If the pet agreement is violated, the pet must be removed from apartment.

WATER FURNITURE & WATER USAGE

Water furniture, such as water beds and aquariums, are permitted on the first floor only. Management will incur the cost of water. Washing machines and clothes dryers are not permitted and if found in your apartment daily fines will be affixed to your account. Water usage outside the apartment home, such as washing your car or use of a wading pool on your balcony, is not permitted.

TRASH

All trash should be disposed of in the dumpsters located on the property. Do not leave trash by the dumpster; place all trash in the trash and recycling receptacles. Do no use the trash cans in the laundry room or in the courtyard for your household trash. If you improperly dispose of your trash you will be fined $25.00.

VEHICLES

Only one parking sticker per bedroom will be issued (or three permits for three unrelated roommates in a three bedroom) as long as you present to us a valid vehicle registration and/or proof of unexpired insurance with the resident’s name listed on one or both of the documents. Towing and Tagging rules are enforced.

Boats, trailers, and recreational vehicles are not permitted. Under NO circumstances will working on vehicles be permitted. There are several spaces marked for visitors which are on a first come first serve basis. All vehicles not in compliance can expect to be tagged and/or towed at the vehicle owner’s expense. Vehicles not in compliance are those without a parking sticker and not parked in a visitor space, vehicles that are parked on or over the parking line, vehicles without a valid license plate or appear to be abandoned, and/or vehicles that are not parked in an inappropriate space or on the lawn.

RENTER’S INSURANCE

A certificate of renters insurance must be provided by your chosen insurance carrier prior to move-in and at each lease renewal. We require a minimum of $15,000.00 worth of content insurance and $100,000.00 worth of liability insurance.

ADDENDA

We require all occupants and leaseholders over the age of 18 to sign the “Lead Based Paint”, “Rules, Regulations & Covenants”, “Drug Free Housing”, and “Vacate Notices, Transferring Apartments & Adding Leaseholders” addendum at move in.

The management reserves the right and privilege of making any price corrections or changes that may have been mis- quoted or mis-printed prior to lease signing.
